Processing Undeliverable Emails

Processing undeliverable emails used to be a tedious, time consuming task - but not with e-Scribe.   e-Scribe makes it quick and easy to update your ACT! database, without having to manually pick through undeliverable emails looking for the addresses that bounced, hidden somewhere in the subject, body or attachments.

The first thing to do, is setup a Microsoft Outlook Rules Wizard to automatically move emails with the broad range of undeliverable email subjects into a sub-folder of your Outlook in-box that begins with the word "undeliverable". 

Typical subjects to flag are are those that contain:

      Mail Delivery
      Undeliverable Mail
      Delivery Failure
      Failed Email    
Mailer Daemon
Returned MailDelivery Status Notification (failed)
Undelivered Mail Returned to Sender
Mail System Error

As you encounter subjects such as these that are not in your rules wizard's criteria, add them, so you will catch them in the future.

Outlook rules wizards will save you from having to manually move them there before scanning them and updating your database, so do take the time to set them up!

Scanning Undeliverable Emails

Once you have bounced back emails to scan (in a folder that starts with "undeliverable"), then run e-Scribe and select the "Scan Outlook Subfolder" tab.  Click on the undeliverable email folder and click the Scan Emails button.  The import table will display four columns:

Error Code Description
(Delivery Status Field)
Email Address Subscription Field

The error code column will contain any error codes that e-Scribe can find in the messages that would explain the reason for the failure.  The Description column will display a description of what the error code means.  If it can't find a reason, it will display "314" in the Error Code column and the Description column will display "Unknown Error".  The Email Address Column will display a list of EVERY email address found in the emails.  Often, these will not be found in your database!  For example, many systems will refer to your message with a cryptic alphanumeric string such as:

 XP345245698ABKECS98762@yourdomain.com

e-Scribe will remove most of these, but there will still be a few that might get through the filter.  In addition, many bounced-back emails will contain administrator email addresses, and such.

The subscription field will be left empty.  If you want to flag records as un-subscribed, click on the subscription field header and type the word "Off" then press enter to populate all records in the table.

The import table will only contain one instance of each email address that e-Scribe finds.

After updating your database, e-Scribe will flag every address that it could not find in pink and sort it to the top of the import table.  If you have more than one database that you send emails with, you can then select [File][Open] from the e-Scribe menu and logon to a different database, to check those addresses that were not found.  The import tabel will remain intact for you.  You can delete the addresses there were found off of the bottom of the table by paging down to the first found address clicking on the left header column and then holding down the shift key and paging down to the bottom of the table, then pressing the delete key, to remove them from the table.

Once you have updated all of the databases that you have sent emails with, you can ignore the addresses that were not found, as they are simply not relevant (admin addresses, message ID's etc.)
